What we collect and why
- When you fill in a form on this site: your name, email address, phone number if you give it, your organisation if you give it, your message and how you heard about us. The form is emailed to our inbox. We use this to reply and to discuss whether we can help. Our lawful basis is our legitimate interest in responding to enquiries, or taking steps you have asked for before a contract.
- When you sign up for our newsletter: your email address, your first name if you give it, where on this site you signed up and when you confirmed. You are only added once you confirm through the link in the email we send you. Our lawful basis is your consent. You can unsubscribe from any newsletter email at any time.
- When you book a call: the booking page is provided by Google Calendar. Google collects your name, email address and any notes you add and shares them with us so we can hold the call.
- When we work together: the contact and business details we need to deliver and invoice the work. Our lawful basis is the contract between us.
- When we contact businesses about our services:
- We sometimes email or message people at businesses about Dominion TechOps, TeamTold or Heathmark.
- We hold your name, role, work email, the business, notes on why we got in touch and a record of each message.
- We find these details in public business sources: company websites, LinkedIn, Companies House and trade directories.
- We only email companies, LLPs, Scottish partnerships, charitable companies, CIOs and public bodies. We contact sole traders, partnerships and unincorporated clubs or trusts on LinkedIn only.
- Our lawful basis is our legitimate interest in telling businesses about services relevant to them.
- Every email says how to opt out and we stop as soon as you ask.
- When something goes wrong on this site: we use Sentry to catch errors so we can fix them. An error report describes what went wrong, on which page and in which browser. Anything typed into a form is removed first and IP addresses are not stored.
- When you visit this site: we count page views with Vercel Web Analytics, which records the pages you view, the site that sent you, your browser, your type of device and your country. It does not use cookies or identify you. See Cookies below.
Who we share it with
We do not sell your data. We use a small number of service providers who process data on our behalf:
- Vercel, which hosts this website and runs its analytics
- Cloudflare, which runs our domain name system (DNS) and checks forms for spam
- Resend, which delivers form submissions to our inbox and stores newsletter sign-ups
- Sentry, which records errors on this website. Error reports are stored in the EU (Germany)
- Google, which provides our email and the call booking page
- Supabase, which stores our business contact records in London (for our business contacts, not this website)
- Anthropic, whose AI assistant Claude helps us research businesses and draft messages (for our business contacts, not this website)
We may also share data where the law requires it. Some of these providers store data outside the UK. Where they do, they rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework. For the systems we build for clients, see Data protection.
How long we keep it
- Enquiries that do not lead to work: up to 2 years after our last contact
- Newsletter sign-ups: until you unsubscribe
- Client records: 6 years after the work ends, to meet tax and accounting rules
- Business contacts: your name and contact details are removed after 24 months with no contact, or sooner if you ask. If you ask us not to contact you again, we keep your email address on a do-not-contact list so we never write to you again. We keep the business name on it for 12 months.
Your rights
You can ask us for a copy of your data, ask us to correct or delete it, object to or restrict how we use it and ask for your data in a portable format. Email hello@dominiontechops.com and we will reply within one month.
If you are unhappy with how we have handled your data, please tell us first and we will acknowledge your complaint within 30 days. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Cookies
This site does not set cookies and does not use advertising or tracking tools. Our analytics count visits without cookies or any other storage on your device.
Sentry, which catches errors on this site, does not set cookies or store anything on your device.
Cloudflare Turnstile runs a check to tell people from automated spam. It is strictly necessary to keep the forms secure, so it does not need your consent. It only runs once you start using a form.
The call booking page is on Google’s own site, which has its own privacy policy.
